The Board Positions

There are many positions on the Kitchener-Waterloo OIAA’s board, all of which provide an opportunity to give back to the industry and help decide how the association can be its best.

 

PAST-PRESIDENT

The person in this role is responsible for the following:

  • Participate in Chapter’s monthly executive meetings, not missing more than three meetings in a row
  • Participate in the Chapter’s monthly dinner meetings and events
  • Organize and host one of the Chapter’s dinner meetings
  • Provide assistance to the Chapter President as needed
  • Act in accordance with the Constitution of the Ontario Insurance Adjusters Association
  • 1 year term in this position

 

PRESIDENT

The person in this role is responsible for the following:

  • Participate in Chapter’s monthly executive meetings, not missing more than three meetings in a row
  • Participate in the Chapter’s monthly dinner meetings and events
  • Act as a liaison between the Chapter executive and the Chapter’s members
  • Organize and host the annual Trade Show in September and the golf tournament in June
  • Attend functions as requested representing the Chapter such as the Annual Claims Conference held in Toronto (February), Out of Town Meetings (May), Past President Night, etc.
  • Submit the President’s Message monthly for the Chapter Bulletin
  • Submit an article written by a local professional to WP as requested by the Toronto Delegate
  • Submit the Year in Review write up to WP as requested by the Toronto Delegate
  • Ensure that the emails are sent to the members reminding them of upcoming events
  • Ensure that the monthly events are posted on the KW OIAA Website by the Social Media Director, and linked to Facebook
  • Ensure that the yearly fees are paid to “yourwebdepartment” and “Issuu”; and the monthly fees to Eventbrite
  • Ensure that the monthly Bulletin (through “Issuu”) is posted to the KW OIAA Website
  • Specify a charity for the annual donation
  • Specify the 50/50 proceeds for the term,
  • Proof read the draft copy of the bulletin, with the assistance of the Vice President. Assist in soliciting articles and ideas for the monthly bulletin
  • Work on the Leadership Committee, with the Vice President, to plan the joint Tri-Association Annual Curling Bonspiel in conjunction with the OIAA, Brokers Association and the Insurance Institute
  • Ensure that Golf’s Steakhouse is booked for all of the monthly meetings
  • Pass pertinent details on to the incoming President at end of term to assist them in their new role
  • Ensure that all executive members have a copy of their duties and responsibilities for their new role
  • At the transfer meeting, confirm who is responsible for hosting which meetings and what the topics will be. Ensure that this information is posted in the bulletin
  • Act in accordance with the Constitution of the Ontario Insurance Adjusters Association
  • 1 year term in this position

 

VICE PRESIDENT

The person in this role is responsible for the following:

  • Participate in Chapter’s monthly executive meetings, not missing more than three meetings in a row
  • Participate in the Chapter’s monthly dinner meetings and events
  • Act as a liaison between the Chapter executive and the Chapter’s members
  • Provide assistance to the Chapter President as needed
  • Organize and host one of the Chapter’s dinner meetings
  • Work with the Chapter President in organizing the annual Trade Show and Golf Tournament
  • Organize the Transfer meeting that occurs in July to welcome new executive members
  • Proof read the draft copy of the bulletin, with the assistance of the President. Assist in soliciting articles and ideas for the monthly bulletin
  • Work on the Leadership Committee, with the Vice President, to plan the joint Tri-Association Annual Curling Bonspiel in conjunction with the OIAA, Brokers Association and the Insurance Institute
  • Pass pertinent details on to the incoming Vice President at the end of the term to assist them in their new role
  • Act in accordance with the Constitution of the Ontario Insurance Adjusters Association
  • 1 year term in this position
  • Liaison with the chapter to ensure membership is sustained and new members are signed up with the Provincial chapter and on our email communication list.
  • Update the social member spreadsheet to track membership status

 

TREASURER

The person in this role is responsible for the following:

  • This role works in conjunction with the Financial Secretary
  • Participate in Chapter’s monthly executive meetings, not missing more than three meetings in a row
  • Participate in the Chapter’s monthly dinner meetings and events
  • Ensure with the bank that the signing authority is obtained and correct
  • Bring the cheque book to monthly dinner meetings and executive meetings
  • Provide a monthly report and bank statement to the executive on a monthly basis
  • Visit the mailbox on a weekly basis and distribute the mail to the appropriate person (as decided by the executive) in a timely manner
  • Ensure that the mailbox rental fee is paid on a yearly basis
  • Ensure that the deposits are made at least monthly between the Treasurer or the Financial Secretary
  • Ensure all bills are paid on time
  • Operate the entrance at each dinner meeting, assisted by another executive member
  • Act as a liaison between the Chapter executive and the Chapter’s members
  • File the Income Tax return with the assistance of the accountant on an annual basis. Year end is filed in July after the Golf Tournament.  A copy of the Income Tax Return is to be filed with the Toronto Chapter – provide this to the Toronto Executive and they will take to the Toronto Chapter
  • Send out invoices for bulletin advertisers  and social members yearly in July
  • Organize and host one of the Chapter’s dinner meetings
  • Pass pertinent details on to the incoming Treasurer at the end of the term to assist them in their new role
  • Act in accordance with the Constitution of the Ontario Insurance Adjusters Association
  • 1 year term in this position
  • Ensure that money is transferred on a regular basis from the PayPal account to the KW OIAA bank account

 

FINANCIAL SECRETARY

The person in this role is responsible for the following:

  • This role works in conjunction with the Treasurer
  • Participate in Chapter’s monthly executive meetings, not missing more than three meetings in a row
  • Participate in the Chapter’s monthly dinner meetings and events
  • This role does not have the ability to vote in regards to financial decisions that impact the chapter
  • Bring the cheque book to monthly dinner meetings and executive meetings
  • Provide a monthly report and bank statement to the executive on a monthly basis
  • Visit the mailbox on a weekly basis and distribute the mail to the appropriate person (as decided by the executive) in a timely manner
  • Ensure that the deposits are made at least monthly, with a running total being kept
  • Ensure all bills are paid on time and entered on the appropriate spreadsheet
  • Maintain the treasury information on the spreadsheet program, including a monthly reconciliation
  • Assist with the organization and host one of the Chapter’s dinner meetings
  • Pass pertinent details on to the incoming Financial Secretary at the end of the term to assist them in their new role
  • Act in accordance with the Constitution of the Ontario Insurance Adjusters Association
  • Excel Spread sheets to include money in money out per event to confirm profit or loss per event along with overall spread sheet of all income and expense the treasurer will 
  • Ensure that money is transferred on a regular basis from the PayPal account to the KW OIAA bank account
  • Term in this position is 2 years

 

SECRETARY

The person in this role is responsible for the following:

  • Participate in Chapter’s monthly executive meetings, not missing more than three meetings in a row
  • Participate in the Chapter’s monthly dinner meetings and events
  • Act as a liaison between the Chapter executive and the Chapter’s members
  • Maintain minutes of the monthly executive meetings and distribute copies to each member of the executive prior to the following meeting. The minutes should be sent out within 1 week of the meeting. 
  • Ensure that a copy of the minutes are stored on the flash drive or other applicable electronic storage.
  • Assist the Treasurer with the operation of the registration table at monthly dinner meetings
  • Organize and host one of the Chapter’s dinner meetings
  • Pass pertinent details on to the incoming Secretary at the end of the term to assist them in their new role
  • Act in accordance with the Constitution of the Ontario Insurance Adjusters Association
  • 1 year term in this position

 

PROVINCIAL DELEGATE

The person in this role is responsible for the following:

  • Participate in the monthly OIAA executive meetings held in Toronto
  • Participate in the monthly OIAA functions it hosts
  • Participate in Chapter’s monthly executive meetings, not missing more than three meetings in a row
  • Participate in the Chapter’s monthly dinner meetings and events
  • Act as a liaison between the Chapter executive and the Chapter’s members
  • Submit the monthly OIAA meeting minutes to the Chapter executive meetings for review and discussion in Toronto, as requested
  • Determine a topic for the Provincial Seminar and take on full responsibilities for hosting the event
  • Submit a monthly report in the bulletin for our membership regarding items to be communicated from the OIAA to the Chapter Members
  • Pass pertinent details on to the incoming Delegate at end of term to assist them in their new role
  • Act in accordance with the Constitution of the Ontario Insurance Adjusters Association
  • As long as no other adjuster interested in this position, the Delegate can stay in position as long as able

 

SOCIAL DIRECTOR

The person in this role is responsible for the following:

  • Participate in Chapter’s monthly executive meetings, not missing more than three meetings in a row
  • Participate in the Chapter’s monthly dinner meetings and events
  • Act as a liaison between the Chapter executive and the Chapter’s members
  • Market Social Members to ensure adequate attendance at monthly dinner meetings
  • Act as a voice of Social Membership, bring forth their concerns to the executive members in order to be addressed accordingly
  • Assist with the organization and hosting of one of the Chapter’s dinner meetings
  • Assist with the collection of fees from the Advertisers and Social Members. Be advised by the treasurer what the amounts outstanding are and ensure that they are paid in a reasonable time frame
  • Take photos at each dinner meeting, forward them to the Bulletin Editor by the end of the current month so that they can be included in the monthly bulletin. Also forward them to the Social Media Director for posting on the KW OIAA Website
  • Write a monthly article for the Bulletin covering off issues relating to the social members (Social Chit Chat)
  • Assist the Bulletin Editor and Director with soliciting articles and information for the bulletin
  • Sell the 50/50 tickets at the registration table at the monthly meetings
  • Act in accordance with the Constitution of the Ontario Insurance Adjusters Association
  • 2 year term for this position

 

DIRECTOR

The person in this role is responsible for the following:

  • Participate in Chapter’s monthly executive meetings, not missing more than three meetings in a row
  • Participate in the Chapter’s monthly dinner meetings and events
  • Act as a liaison between the Chapter executive and the Chapter’s members
  • Market industry contacts to promote membership with the organization
  • Assist Social Representative in presenting their concerns/issues that need to be voted on by the executive members
  • Assist with the organization and hosting of one of the Chapter’s dinner meetings
  • Act as a back-up for either website or bulletin in the event that they are unable to fulfill their duties
  • To meet with bulletin or website director at the beginning of the year to have a tutorial of their position
  • Act in accordance with the Constitution of the Ontario Insurance Adjusters Association
  • 2 year term for this position – if there are no other interested parties for this position, the adjusters may stay on in the position for longer term

 

SOCIAL MEDIA & WEBSITE DIRECTOR

The person in this role is responsible for the following:

  • Participate in Chapter’s monthly executive meetings, not missing more than three meetings in a row
  • Participate in the Chapter’s monthly dinner meetings and events
  • Act as a liaison between the Chapter executive and the Chapter’s members
  • Ensure that the monthly fees for the KW OIAA Website are paid up to date
  • Ensure that the monthly meetings are posted on the KW OIAA Website so that the members can sign up for meetings online using the PayPal option
  • Ensure that a copy of the monthly PDF Bulletin is posted on the website and Facebook
  • Ensure that photos from Chapter events are posted online
  • Ensure that updates are done to the Facebook page and the KW Linked In page
  • Post events on Twitter
  • Organize and host one of the Chapter’s dinner meetings
  • Pass pertinent details on to the incoming Social Media Director at the end of the term to assist them in their new role
  • Send out email and additions to websites are completed within 3 days of being provided the information
  • Send out Email notices as needed in regards to monthly meetings. No more than 1 email a week.
  • Editor can make changes to errors/ omissions to any e-blast without notice, major content changes should be sent to the writer prior to being made
  • Meet with the directors and show them how to use, Eventbrite, mail chimp, and any other program used.
  • All passwords and contacts to be sent to the President
  • Act in Accordance with the Constitution of the Ontario Insurance Adjusters Association
  • This is a 2 year term – as long as no other member (adjuster or industry partner) is interested in this position, the Social Media Director can stay in position as long as able
